01 - Welcome to Smooth Projects

Welcome to the increasing number of companies using Smooth Projects to more effectively manage business!

Quick Overview

This overview should be just enough to get you going with your project management software installation on Smooth Projects.

Log-in:

You should have received your log-in and password from our offices in an e-mail if you have already signed up for the service. Enter that at the log-in screen at your custom project management address assigned.

User Accounts:

User accounts are completely editable inside the project management program under the "User Admin" tab.

We advise that you do not allow other users access to the "System Admin" and "User Admin" areas of the program. Do this by selecting or setting up a "Role" that dis-allows this. We have included an admin log-in for our maintenance staff in case you need support and for future updates. Depending on the nature of your business this may not be acceptable. Our account is not required and the account can be deleted, but we do advise against this because you may need our help in the future and this would be the only way that we can gain access to the system. There are no back doors.

Click on "User Admin" in the left navigation of this help system to view detailed help on setting up Users and their permissions.

Projects:

  • Click the project tab to view projects in progress.
  • To create a project press the "New project" button on the top right of the Projects screen.
  • Enter the project name, the owner and company.
  • Set the status of the project in the drop down.
  • Select an identifying color for the project by clicking change color.

Tasks:

  • Select a project from the Projects tab.
  • To create a new task: Click "New Task" in the top right of the screen.
  • Enter a task name.
  • Set the access. (Participant allows only those Users (resources) that are assigned to the task to view and interact with the details of this task. The default "Public" allows everyone on the system to interact with it.
  • Task Parent: Creates a Parent Child relationship of tasks. The child will be displayed directly under the parent in the Project screen which helps with categorization.
  • Set the Status of the Task so that it can be categorized correctly.
  • Set the resources (Users that will work on the task ) by highlighting a user and clicking the < or > arrows moving those resources into or out of the "Assigned to Task" box.
  • If you leave the "Notify Assignees of Task by E-mail check marked each time you assign a task to a user they will receive an e-mail that will have a link directly back to this task and the description of the task. When they come back to it or have made progress on the task they should make a note of it by clicking the "New Log" tab at the bottom of the "View Task" screen.
